POSITION TITLE: Events Associate

DEPARTMENT: Ray and Joan Kroc Corps Community Center (Kroc Center Hawaii)

SUPERVISOR: Sales & Events Manager

FLSA STATUS: Non-Exempt

CLASSIFICATION: Full Time Hourly

POSITION SUMMARY:

The Events Associate will provide support to the Sales & Events Manager and/or Events Coordinator in the operational and logistical aspects of events at Kroc Center Hawaii including but not limited to Corporate Conferences, Banquets, Cabanas, Facility Rentals and Special Events.

The Events Associate will have a deep commitment to the mission of The Salvation Army, which will be evident in his or her professional life and the manner in which he or she represents The Salvation Army Ray and Joan Kroc Corps Community Center in the community.

REQUIRED:

  • High School Diploma or GED.
  • Minimum of six months experience in events, administration, or related experience.
  • Proven customer service and interpersonal skills and experience both in person and over the phone.
  • Must have high standards of quality and work ethic to extend beyond the client expectations.
  • Practical working knowledge of Microsoft Office applications (Excel, WORD).
  • Excellent verbal and written communication skills and professional telephone etiquette.
  • Superior customer service skills in addition to impeccable personal presentation required.

PREFERRED:

  • Previous banquet or food service experience.
  • Knowledge of food prep and service.
  • Understanding of audio-visual equipment
  • Creative marketing experience.

ESSENTIAL FUNCTIONS:

  • Under the direction of the Sales & Events Manager and or Events Coordinator, perform all administrative work as related to the planning and execution of Kroc Center banquets and events.
  • Establish professional relationships with potential clients.
  • Complete all administrative details including seating, dining and guests and address potential problems that may arise, taking each project from conception to completion.
  • Set-up and support events and meetings with audio visual equipment (projectors, screens, microphones, etc.
  • Maintain a working knowledge of the complex needs of a wide variety of events.
  • Ability to multi-task and manage multiple processes and events at one time.
  • Show exemplary customer service skills, etiquette and professionalism.
  • Work with established P.O.S. system.
  • Complete all contracts, documents, and fiscal transactions for each event.
  • Adhere to The Salvation Army's policies and procedures in handling cash and accounting procedures. Assist in the receipt and safe keeping of all cash from each program venue.
  • Conduct tours and host food tastings to prospective clients.
  • Follow and ensure adherence to The Salvation Army Policies and Procedures.
  • Maintain the Code of Ethics policy, which has been established for the Kroc Center Hawaii.
  • Attend staff meetings and other administrative meetings.
  • Maintain regular and punctual work attendance.
  • Maintain a flexible schedule including working holidays, weekends and evenings.
  • Perform other duties as assigned.

MENTAL DEMANDS:

The position requires strong administrative and organizational skills, and attention to details. The work will be in a fast paced environment and requires changing priorities constantly while meeting deadlines. The position must maintain poise under pressure and respond to crisis situations in a calm and effective manner. Must maintain a self-motivated and self- directed schedule, able to work with limited supervision, and in a team setting with other professionals. This position must possess the self-discipline necessary to perform repetitive tasks without lowering quality of work, exercise good judgment and be comfortable taking initiative with projects.

PHYSICAL DEMANDS:

The position requires sitting; climbing and/or balancing; stooping, kneeling, bending, stretching, crouching and/or crawling; standing; walking; manual dexterity and eye-hand coordination; use of vision. Pushing/pulling/lifting/carrying up to 40 pounds without assistance and more than 40 pounds with assistance.

COMMUNICATION DEMANDS:

The position requires talking to co-workers, clients, vendors; requires written communication to and from co-workers, clients, vendor; talking on the telephone; requires responding to written or verbal requests of co-workers, clients, and vendors; requires training/giving verbal and written instructions; requires receiving verbal and written instructions; requires writing/composing written language; requires reading; requires visiting/working at other worksites; requires communication via the latest technologies.

The position requires the ability to interact with co-workers and the public in a positive, professional manner in conformity with The Salvation Army Mission Statement. The position requires the ability to work with people of diverse backgrounds and circumstances.

DESCRIPTION OF WORK ENVIRONMENT:

Most work will be indoors or outdoors at the new Kroc Center Hawaii including but not limited to the banquet and kitchen areas.

EQUIPMENT NEEDS:

Equipment used includes general office equipment such as computers, photocopiers, scanners, printers, fax machines, telephone (office, cell, PDA), and 10-key calculator.
